3 processes we’ve automated at our small business (and 1 we won’t!)
As a small business that builds automations for small businesses, we like to think we have some insight into to automated workflows that we’ve found particularly handy. From external tools you can get started on right away to plug-in solutions that we’ve already built and deployed that have made running work.flowers a little bit more seamless.
So if you’re wondering how to make your business smarter and looking to automation to save on time and costs - here are some ideas to get started.
1. Keep track of your contracts
Keeping track of all the contracts that come with running a small business can get overwhelming. The litany of key dates, terms, and non-standard clauses - all to stay on top of the finer details of the paperwork.

2. Never miss an invoice again
This one might be a favourite and has saved us hours of wading through emails to find that specific invoice that we’re so sure we received last week.
We’ve automated our bookkeeping system, making the invoicing process much smoother. With the AI powered finance agent we built, receipts that come in are automatically detected, filed away, and matched with Xero transactions.
3. All things meetings
Note taking, schedule, tracking- all the work that comes on top of meetings! We’ve found and built a few workarounds for all the busywork around meetings. So this is actually three whole tips:
- Note taking: We love chatting - so we rely a lot on automated note taking to summarise our meetings and action points. We’ve done a few reviews around automated note-taking services, comparing Notion AI with Granola.
- Scheduling: We had enough of the endless email chain trying to schedule a meeting, but felt that tools like Calendly and even Notion Calendar felt a little cold. We built an automated email response that would seamlessly be integrated into email threads to set up meetings.
- Tracking and CRM: To keep track of al our contacts, we’ve set up a workflow that connects new Contacts to the right Company, matching domains and creating new records on Notion when needed.
The secret last thing
